What today’s customers expect

- Confidence: Clear records support warranties, refunds, and future visits.
- Continuity: Any tech can pick up the work with full context.
How it meets manufacturer standards (and gets claims paid)
Most OEMs require:
- Identifiers: VIN/serial, mileage/hours, software levels, configuration.
- 3C format: Concern–Cause–Correction (plus VOC in the Concern).
- Evidence: DTCs + freeze-frame, calibration logs, alignment/torque sheets, leak rates, photos/screenshots.
- Parts traceability: Part numbers, lots/batches, quantities, core tags, RMA refs.
- References & sign-offs: TSB/recall IDs, procedure numbers, revision dates, technician ID/time stamps.

Write documentation that works (and makes customers feel heard)
Two layers, every job
- Customer-facing summary (in plain English):
“Customer reports vibration at 60–70 mph; confirmed on road test. Road-force balance found RR tire 24 lbs; brought within spec at 9 lbs. Verified on second road test—no vibration at 70 mph.” - Technical notes (internal/OEM): Test steps, readings with units and conditions, tool IDs, specs sources, part numbers, photos.
Intake & approval essentials
- Start with VOC: “In the customer’s words…”
- Add conditions: mileage/hours, environment, frequency.
- Confirm scope/estimate, get written approval, and time-stamp.
Make numbers meaningful
- Always include units (V, A, Ω, psi, bar, °F/°C), test conditions, and pass/fail thresholds from the manual.
Consistent naming
- Standardize component names, procedure IDs, and part numbers so searches work.
Close the loop
- Tie your Correction back to the original Concern. That explicit closure is what makes the customer feel heard.
Parts handling & traceability
- Record part numbers, lots/batches, serials where applicable.
- Note cores/returns and RMA details.
- For software: log versions/config codes and calibrations.
Build the culture
- Templates & checklists: Bake VOC and 3C fields into work orders.
- Peer reviews: Share great examples; coach weak ones.
- Feedback loop: Use documentation to drive root-cause fixes and preventive maintenance.
- Ongoing training: Update the team when OEM procedures or standards change.
